THE ROLE

The main purpose of the post of Festival Assistant is to support with the day-to-day running of Valley Fest Ltd both in the planning stages & during the live event.

This is an entry level job into the Festival Industry and we are keen to develop this position over the next 12 months. You will work closely with & report to the Festival Manager.

Scope of the Job

  • To carry out all tasks to the best of your ability and work towards the success of Valley Fest.
  • Working from home with regular in person meetings at Yeo Valley HQ (Blagdon), the festival site (Chew Magna) & in Bristol.
  • For this role you will need to be very comfortable managing your own time and staying on top of your own workflows.
  • You will need to be available to work on site during the build, live & break of the festival. For 2024 this will be from 22nd July through to 9th August. Accommodation & meals will be provided.  Time off will be given in lieu for weekend days worked.
  • The position is paid £23,000 per annum (pro-rata), paid in monthly installments via PAYE + National Insurance & Workplace Pension Contributions. We are happy to consider part-time or full-time applications.
  • For part-time applications, availability to work on Tuesdays is required.
  • 20 days holiday (pro rata) + bank holidays NB: Holiday shouldn’t be taken in the 4 weeks prior to being on site or for 1 week following.

Duties and responsibilities

  • Become an expert on event software Festival Pro.
  • Support with ordering equipment. 
  • Support with festival scheduling & production documentation.
  • Issue purchase orders.
  • Manage public inboxes, including for residents’ tickets & accessibility enquires.
  • Support with merchandise, furniture, signage & wristband delivery.
  • Attend meetings in person & take minutes.
  • Book and manage on site accommodation & staff food.
  • Support with Accreditation Management
  • Running the Festival Office during the event.
  • General admin tasks.

Existing Experience

  • Previous experience in outdoor live events would be preferable but isn’t essential. However, an understanding of the pressures involved would be key. Festivals behind the scenes are not glamours and we expect everyone to get stuck in, supporting the team come rain or shine.
  • An understanding of Microsoft Office and Google Docs is a must
  • General administrative experience is essential
  • Experience of schedule & accreditation management would be preferable.
  • Due to the remote location of the event site, a full driving license is required.
